A variety of Date stamps are used to validate several documents and partner banking products including: • Manual cash deposits received - date stamping the counterfoil and deposit slip. • Cheque envelopes received - date stamping the envelope received to confirm the day of receipt • Manual withdrawals - date stamping the cheque Post Office Limited has a requirement for a supplier of new date stamps and consumables; the maintenance of existing date stamps in the network; the provision of consumables of existing date stamps in the network; the secure disposal of end of life date stamps both existing and newly purchased (once end of life) The Goods: - Supplier either needs to be a manufacturer or have a close working relationship with the manufacturer. - Full list of Date Stamp Requirements will be advised in the Selection Questionnaire - Supplier will need to provide consumables for the current stock of date stamps in the network. Details of date stamps & consumables to be provided. The Services: - Supplier is required to have a dedicated POL online ordering portal or page that only POL or POL Agents can access (for security reasons) - Online form for agents to complete their details and information that needs to be on the stamp - Portal/web page needs to be able to validate agent ordering date stamps (POL will provide branch data for validation) - Most orders will be individual made by branch, but the Supplier is required to have the facility for bulk orders, this will be via the Post Office project management team. - Supplier is required to have a secure facility/process for ordering outside of the portal for staff unable to order online. - Supplier is required to have the ability to process payments from individual branches as well as payments for bulk orders made directly from Post Office Ltd (Purchase Order) - Supplier needs to have ability to securely dispose of date stamps at the end of their (minimum) 10-year life cycle or adhoc due to branch closures. (New Date stamps & existing), This will apply to any date stamps and associated parts that have branch identifiers. - Supplier is required to have a dedicated account manager to deal with POL. - Supplier is required to have a helpline with a local rate number. - Supplier is required to provide Monthly MI; orders, spend, destructions, asset register etc. - Suppliers will need to provide adhoc maintenance for the existing stock of date stamps in the network in addition to newly purchased.
